Facilities Manager

The Facilities Manager oversees all aspects of building functions and guarantees the safety and functionality of all facilities. Duties include running routine safety inspections, corresponding with contractors, planning maintenance work, maintaining records, and supervising facilities/maintenance staff. This is a ‘working manager’ position and will be expected to be able to function in a maintenance technician capacity as needed in addition to manage the facilities.
Objectives of this role
Ensure all building facilities adhere to proper safety standards and cleaning procedures
Maintain equipment and building provisions to meet health and safety requirements
Organize and plan building installments and refurbishments
Supervise facilities staff and communicate with external contractors and vendors
Handle insurance contracts
Keep building and all facilities up to code and accurately follow maintenance protocol
Responsibilities
Prepare and implement project budgets and timeframes
Comply with all health and safety policies and procedures
Support maintenance and installment work as needed
Maintain building emergency evacuation plans and signage
Monitoring the safety and cleanliness of interior and exterior areas, such as offices, conference rooms, parking lots and outdoor recreation spaces
Delegating cleaning and maintenance tasks to staff
Performing routine maintenance on facilities and making repairs as needed
Scheduling routine inspections and emergency repairs with outside vendors
Ensuring proper security measures for the workplace, including collaborating with security system vendors or a team of security professionals
Maintaining day-to-day operations of facilities, such as delegating or completing maintenance orders
Maintain agency vehicles (I.e., scheduling oil changes, inspections and training new employees on vehicle operating systems)
Maintain strong relationships with tenants, ensuring open communication and addressing their maintenance needs in a timely and professional manner
Comply with applicable governmental regulations, such as OSHA and Allegheny County Health Department Regulations
Skills and qualifications
Minimum of five (5) years' experience in commercial facility management
Advanced mechanical skills and knowledge of plumbing, HVAC and other building systems
Excellent time management and multitasking skills
Basic understanding of accounting and finance principles
Great leadership and problem-solving skills
Preferred qualifications
Certified Facility Manager (CFM) credential, or equivalent
Experience planning and maintaining facility budgets
Excellent verbal and written communication skills
Professional/Commercial facility management and customer service skills
Contract handling experience
Strong attention to detail
A valid PA driver’s license with minimum of 1-2 years legal driving experience in order to manage/maintain/transport using POWER vehicles as needed
Proficient with Microsoft Office software programs
Working Conditions
Working in POWER’s various offices
Ability to lift heavy equipment and comfortable standing or walking for long periods of time
Ability to work the hours necessary to complete the work
